Key Responsibilities

  • Process and input subcontract documentation with accuracy and efficiency
  • Manage subcontractor compliance setup and documentation
  • Review subcontractor insurance requirements by trade, revise and resubmit as needed
  • Oversee subcontractor bond setup
  • Maintain and distribute subcontract tracking logs daily (AP, Collections, etc.)
  • Follow up with vendors on outstanding subcontract statuses
  • Prepare and distribute subcontract exhibits
  • Process a minimum of 12 subcontracts per day
  • Handle special projects and additional administrative support as needed
  • Distribute purchase orders weekly via USPS

What We're Looking For

  • High school diploma or equivalent (Business, Economics, or Management coursework preferred)
  • Ability to quickly learn internal systems and processes within the first 12 weeks
  • Advanced proficiency in Microsoft Excel and Word
  • Strong written and verbal communication skills
  • Excellent attention to detail and ability to manage high volumes of data
  • Strong organizational and time management skills
  • Customer-service mindset and professionalism in team settings
  • Business writing proficiency with strong grammar and terminology
  • Goal-oriented with the ability to meet deadlines
  • Typing speed of 75 WPM with 99% data entry accuracy

?? Preferred (not required): Purchasing or subcontract coordination experience
